By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, you may not access or use the Service.

Definitions

“We”, “us”, “our” refers to Renchi Labs Limited (trading as Renchi).
“You”, “your” refers to the individual or entity accessing or using the Service.
“Service” means the Renchi platform, including web applications, dashboards, AI voice agents, APIs, integrations, and related services.
“Business User” means companies, trades businesses, and authorised team members using the Service.
“End User” or “Caller” means individuals interacting with AI voice agents via telephone.
“Account” means a registered user account on the platform.
“Team” means an organisation or business entity within the Service, including users, data, and configurations.
“AI Voice Agent” means automated voice assistant technology provided through the Service.
“Content” means any data, text, audio, recordings, transcripts, configurations, or materials uploaded, submitted, or generated through the Service.
Eligibility and Account Registration
3.1 Eligibility
To use the Service, you must:
Be at least 18 years old
Have legal capacity to enter binding contracts
Have authority to bind an organisation if registering on its behalf
The Service is intended for business use by UK-based home services and trades companies.
3.2 Account Registration
To access the Service, you must create an Account and agree to:
Provide accurate and current information
Maintain and update Account details
Keep credentials confidential
Notify us immediately of unauthorised access
Accept responsibility for all activity under your Account
3.3 Team Accounts
Team owners and administrators are responsible for:
Managing users and permissions
Ensuring compliance with these Terms
Configuring appropriate access controls
Removing users who no longer require access

4.1 Platform Overview
The Service enables businesses to:
Handle inbound calls using AI voice technology
Capture and manage customer information
Book appointments and service calls
Transfer calls to humans with context
Access analytics and insights
Integrate with third-party tools
4.2 Core Features
The Service includes:
AI Voice Agents
Call recording and transcription
Customer management tools
Team collaboration features
Analytics and reporting
Third-party integrations
4.3 Service Availability
We aim for reliable access but do not guarantee uninterrupted availability. Downtime may occur due to maintenance, urgent fixes, or events beyond our control.
Acceptable Use
5.1 Permitted Use
You may use the Service only for lawful business purposes and in compliance with all applicable laws.
5.2 Prohibited Conduct
You must not:
Use the Service unlawfully or fraudulently
Violate laws or industry regulations
Infringe intellectual property rights
Transmit malware or harmful code
Access systems without authorisation
Disrupt Service integrity or performance
Reverse engineer or tamper with the Service
Remove proprietary notices
You must not upload unlawful, abusive, misleading, or spam content, impersonate others, misuse personal data, resell the Service, or share credentials.
5.3 AI Voice Agent Use
You agree to:
Provide required disclosures
Avoid deceptive behaviour
Escalate emergencies appropriately
Comply with consumer protection laws
Ensure callers understand they are speaking with AI
5.4 Consumer Regulation Compliance
You are responsible for complying with applicable consumer laws, including pricing transparency, cancellation rights, and sector-specific disclosures.
Business User Responsibilities
6.1 Data Protection
Business Users act as data controllers. Renchi Labs Limited acts as a data processor.
You are responsible for lawful data processing, privacy notices, handling data subject requests, retention policies, and UK GDPR compliance.
6.2 Call Recording Disclosures
You must ensure callers are informed that calls may be recorded, involve AI processing, and clearly identify your business.
6.3 Emergency Handling
You must configure emergency escalation, ensure human availability, and not disable safety or escalation features.
6.4 Trade Compliance
You are responsible for maintaining required trade registrations, licences, and accurate service disclosures.
Fees and Payment
7.1 Fees
Fees may include subscription charges, usage-based fees, and premium features.
7.2 Payment Terms
Fees are in GBP and payable in advance. We may change pricing with at least 30 days’ notice.
7.3 Taxes
Fees exclude VAT and other applicable taxes.
7.4 Non-Payment
We may suspend the Service, charge statutory interest, and recover reasonable collection costs.
7.5 Refunds
Fees are non-refundable unless required by law or expressly agreed otherwise.
Intellectual Property
8.1 Our IP
The Service and underlying technology are owned by Renchi Labs Limited or its licensors. You receive a limited, non-exclusive licence for the duration of your subscription.
8.2 Your Content
You retain ownership of your Content. You grant us a licence to process it solely to operate, maintain, and improve the Service.
8.3 Call Data
Call recordings and transcripts remain your Content and are processed in accordance with our Privacy Policy.
8.4 Feedback
Feedback may be used without restriction or compensation.
Confidentiality
Each party must protect confidential information, subject to standard legal exceptions.
Third-Party Services
The Service relies on third-party providers for telephony, AI, hosting, and email delivery. We are not responsible for third-party services.
Disclaimers
The Service is provided “as is”. AI technology has limitations. We do not guarantee outcomes or business results. The Service is not a substitute for emergency services.
Limitation of Liability
Our total liability is limited to the greater of fees paid in the prior 12 months or £100, except where liability cannot legally be excluded.
Indemnification
You agree to indemnify Renchi Labs Limited against claims arising from your use of the Service, your Content, or violations of law.
Term and Termination
You may terminate at any time. We may suspend or terminate access for breach or legal necessity. Certain provisions survive termination.
Modifications
We may update these Terms with notice. Continued use constitutes acceptance.
Governing Law and Disputes
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.
General Provisions
These Terms constitute the entire agreement. Severability, waiver, assignment, force majeure, and third-party rights provisions apply.

Supplementary Terms for Business Users
Service availability targets, security practices, API usage rules, and compliance support are provided without formal SLAs.
Supplementary Terms for End Users (Callers)
Callers will be informed they are speaking with AI, may request human assistance, and retain UK GDPR rights.
If there is an emergency, callers should contact 999 directly.
